1. Flexible Booking Policy
In addition to our standard cancellation terms (Section 6), we offer the following extra flexibility if your trip cannot proceed due to unforeseen circumstances outside your control in your destination (e.g., government-imposed travel bans, natural disasters, or other significant disruptions):
Flexible Cancellation: Cancel up to 60 days before departure for qualifying reasons and receive a non-transferable, non-refundable travel credit equal to all payments made. This credit must be applied to a new booking within 12 months of issue, for travel commencing within 12 months of the new booking date. This policy replaces the standard refund schedule for qualifying cases only.
Flexible Postponement: Postpone your trip up to 21 days before departure for qualifying reasons without penalty, subject to supplier terms and availability.
Supplier Limitations: Where suppliers do not allow postponement or refund, their terms will apply, and we will pass on any applicable charges.
2. Contract Formation
A binding contract (“Contract”) exists when:
We issue a booking confirmation; and
We receive your deposit or full payment.
The lead traveler is responsible for all payments, accuracy of information, and ensuring all travelers have read and understood these Terms.
3. Payments
Deposit: 25% of trip cost unless otherwise stated.
Final Payment: Due 90 days before departure.
Late Bookings: If booking within 90 days, full payment is due immediately.
Failure to pay on time may result in cancellation with applicable penalties.
4. Pricing & Adjustments
All prices are based on known costs at the time of quotation. We reserve the right to adjust prices due to significant cost increases outside our control, including exchange rate fluctuations, fuel surcharges, or changes in taxes and park fees.
5. What’s Included / Not Included
Unless otherwise stated, prices include:
Accommodation, activities, and meals as specified in your itinerary
Local transportation during the trip
Services of local guides and/or tour leaders
Not included:
International airfare to/from trip start and end points
Travel insurance (mandatory)
Visas, passports, vaccinations
Personal expenses, optional activities, and gratuities (unless noted)
6. Cancellations by You
If you need to cancel your booking, you must notify us in writing. Cancellations are effective on the date we receive your written notice.
Standard Cancellation Fees:

If you cancel for a qualifying reason under our Flexible Booking Policy (see Section 1), that policy will apply instead of the standard refund schedule.
Non-Refundable Items: Certain supplier costs (e.g., issued airline tickets, special permits, park fees, or prepaid activities) may be non-refundable regardless of cancellation date.
Partial Cancellation: If some but not all travelers on a booking cancel, any applicable discounts for group size may be lost, and the total price for remaining travelers may increase.
7. Cancellations or Changes by Us
We may cancel a trip due to low enrollment, safety concerns, or a Force Majeure Event. If cancellation is due to reasons within our control, you may choose a full refund or transfer. If cancellation is due to Force Majeure, refunds will be limited to amounts recoverable from suppliers.
8. Supplier Terms
Many trip components are provided by independent third-party suppliers whose own terms and conditions apply. These may limit or exclude liability and are incorporated by reference into your contract with us.
9. Active & Adventure Travel Risks
Many Ecovoyager trips involve physically active elements and travel to remote or natural areas. You acknowledge and accept that:
Activities may include hiking, boating, wildlife encounters, and other inherently risky experiences.
Medical facilities may be limited or unavailable.
Participation is at your own risk and requires appropriate fitness and preparation.
10. Medical Conditions & Fitness to Travel
You must disclose relevant medical conditions at the time of booking. We may decline or cancel a booking if we believe your condition would make participation unsafe.
11. Travel Insurance
Comprehensive travel insurance covering trip cancellation, interruption, medical expenses, evacuation, and personal property is mandatory.
12. Passports, Visas & Documentation
You are responsible for obtaining and carrying valid passports, visas, permits, and required vaccinations. No refunds will be given for missed services due to documentation issues.
13. Force Majeure
We are not liable for delays, cancellations, or changes caused by events beyond our control, including natural disasters, political instability, pandemics, or government restrictions.
14. Limitation of Liability
To the fullest extent permitted by law:
Our liability is limited to the amount you have paid to us.
We are not liable for indirect, consequential, or punitive damages.
You release us from liability for the acts or omissions of third-party suppliers.
Adventure travel involves inherent risks, which you voluntarily assume.
15. Photography & Marketing
Unless you notify us otherwise in writing, you grant us permission to use photographs or videos taken during your trip for promotional purposes.
16. Governing Law, Jurisdiction & Arbitration
This Contract is governed by the laws of [Your State], USA.
Any dispute will be resolved exclusively by binding arbitration in [City, State] under the rules of the American Arbitration Association.
You waive the right to a jury trial and to participate in class actions.
17. Class Action Waiver
All claims must be brought in your individual capacity. You agree not to participate in any class, collective, or representative action.
18. Severability
If any provision is held unenforceable, the remaining provisions remain in full force.
